- Users can be updated by providing the system of a CSV with all the relevant column headers and the information within the CSV of the information that you wish to update for each record. For users the system will use the primary email address as the unique identifier. Please note that you cannot update the primary email address through this method. To do that you will need to update the record individually within the system itself.
- Once the CSV file is ready, go to the import wizard section and click "New Import". This will take you to the "Create Import" page. For this you want to name your file, upload it and select "Update" as the import method as shown below:
- The next screen you will see after pressing "Create" is the Import Details page. On this page you can map your import fields with the fields on the system either manually or through the Auto Mappings feature. Please be aware that is it always best to check your mappings manually if you are using the auto mapping feature, in case you have columns with similar names to the sentinel fields but do not actually contain the data you want to map for that field. It is also important to understand the Overwrite feature on this page. For clarity, I have included the overwrite/update rules below:
- User Fields
- The user identifier must be specified, which in this case is the primary email address.
-
All mapped values must adhere to normal validation requirements e.g a phone number must be a number etc
-
Non-mandatory fields which are not mapped will be ignored.
-
Active and Visible in directory fields if mapped must be true/false values.
-
Mapped columns with empty cell data will reset the field and make it empty.
-
Direct Permissions
-
Non-Mapped columns will be ignored. The existing permission will not be altered.
-
Mapped columns must contain yes/no value or will fail
- Mapped columns will overwrite existing permission.
-
-
Communication Groups / Permission Groups / Chat Channels
-
Non-Mapped column will be ignored, no groups/channels will be assigned or revoked
-
Mapped columns must be in the form of comma separated id’s e.g 1,4,6.
-
Mapped columns with empty cell data will be ignored. Nothing will be assigned or revoked.
-
Non-existent groups/channels will fail.
-
Mapped columns (Overwrite NOT checked) will append to existing group/channels assignments.
-
Mapped columns (Overwrite checked) will remove ALL existing assignments and replace with the assignment specified in the mapping. - Take care with this one, as it can be quite destructive if you get this wrong.
Note: When assigning chat channels – users without chat channel permission will be automatically given chat channel permission as requirement of joining the channel.
